Collection and use of clients’, suppliers’ and other service providers’ personal data
Please be informed that we will collect and use the personal data with which you provide us, as this is necessary for the conclusion and performance of our agreement with you, if any agreement is signed. This is true
for both our clients and prospective clients and for any parties whose products and/or services we procure.
If you are a client or prospective client of ours, we will use your data in order to be able to send you a quote, determine what kind of requirements or wishes a certain product or service must meet,
deliver the product(s) you have ordered or provide the service(s) you have requested, send you our invoices and communicate easily and efficiently with you regarding the performance of the agreement we have concluded.
If you are a supplier, prospective supplier or other service provider, we will also be required to process your personal data, in order to be able to conclude and perform our agreements. When we procure a product or service, we must process your data
to be able to let you know what kind of requirements or wishes a certain product or service needs to meet as far as we are concerned, send a quote or place an order with you, pay your invoices
and communicate easily and efficiently with you regarding other aspects of the agreement.
You are not obliged to provide us with your personal data. However, if you do not provide us with any personal data, or if you do not provide us with enough information, we may not be able
to perform the duties outlined above.
Transmission to others
If we conclude an agreement with you regarding the provision of a particular product or service, we may be required to provide your personal data to those parties that supply us with components, materials and products
or perform duties at our behest. Furthermore, we use external server space to store some of our sales and procurement records, including
your personal data. For this reason, your personal data will be transmitted to the party providing us with server space. We also use Microsoft Office and the associated storage options
for emails and other files. Lastly, since we use an email newsletter service, your personal data will be transmitted to the provider of this email newsletter service.
Direct marketing
If you place an order with us, we will store and use the personal data with which you have provided us to notify you by email of our existing and new products
and services, and possibly to make you special offers with regard to these products and services. We have a legitimate interest in using your personal data for this purpose, which is advertising our
products and services. Every time we send you an advertising email, you will be granted the opportunity to opt out of our messages. You can use the ‘unsubscribe’ link at the bottom of each email we send you to do so.
If you are a one-off client without a user account, we will only send you advertising emails if you have granted us permission to do so beforehand.
Personal data retention period
If you requested a quote from us but decided not to buy the product or service, we will remove your data from our systems no more than one year after our final contact. If we received a quote from you
but decided not to procure your product or service, your personal data will be removed from our systems no more than one year after our final contact. If you did end up buying our product or service, or if we did end up procuring your product or service, we will
store your personal data for a period of seven years after the end of the financial year during which all the arrangements specified in our agreement with you were finalised. We will store this information for seven years because this
is the amount of time the Dutch Tax and Customs Administration (Belastingdienst) requires us to keep our records of each transaction. At the end of the seven-year period, we will erase your personal data.
Your rights
You have the right to request to inspect your personal data as held by us. If you have any grounds to do so, you may request us to update your personal data if it is incomplete, or to have any
inaccuracies in your data rectified. In addition, you have the right to ask us to erase your personal data or restrict the use of your personal data. You may also lodge an objection with us against
the collection and use of your data, or you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). Lastly, you may request us to provide you with the personal data we have on record for you, or ask us to transmit the data to
a third party.
